Arts Administration Intern, Vilar
The Vilar Performing Arts Center is looking to hire a highly organized, detail-oriented Arts Administration Intern to support the work of the Vilar for the Summer 2026 season. The Arts Administration Intern will serve as a central hub of support, working directly with the Vilar Executive Director while providing cross-departmental assistance to the Vilar Programming, Operations, Marketing and Community Engagement staff. This role is designed for a college student interested in arts management, nonprofit operations, producing/presenting, development, or venue administration. Reporting directly to the Vilar Arts Education & Community Engagement Manager, the Arts Administration Intern will contribute to a variety of day- to- day administrative work while also completing one or more summer- long capstone projects that produce tangible deliverables for the organization.
- Executive & Administrative Support:
- Provide administrative support to the Executive Director, including scheduling assistance, meeting preparation, and follow-up notes/action items as assigned.
- Draft, format, and route internal documents and communications.
- Help maintain organized digital files and version control for Vilar projects.
- Business & Financial Administration
- Assist with invoice processing, expense reconciliation and budget tracking, monitoring and updating departmental expenditures for Vilar projects.
- Maintain accurate spreadsheets and supporting documentation; reconcile information across sources when needed.
- Cross- Functional Programming & Operations Support
- Assist Programming and Operations staff with event readiness tasks: logistics checklists, hospitality/artist support items, and internal coordination as needed.
- Provide on- site support for select Vilar events and summer activities as assigned (may include some off- site VVF events depending on staffing needs).
- Community Engagement & Development Support
- Work with the Arts Education & Community Engagement Manager to support local outreach efforts and support community access and engagement initiatives through administrative coordination and data entry/tracking.
- Assist with drafting communications or summaries for internal use as well as external use for donors, sponsors and community partners.
- Compile and summarize post- event feedback and learnings.
- Marketing Support
- Distribute Event Posters to local businesses.
- Provide additional marketing/content capture support as needed.
- Specific Projects, examples for reference:
- 1. Volunteer Poster Program Revamp: Redesign and formalize the organization’s volunteer postering program by developing a structured, repeatable tracking system to log poster placement locations, timing,
and volunteer coordination. This desired result for this project is a software-based tool that brings consistency and accountability to a currently informal process. - 2. Annual Impact Report Data Compilation: Research and compile organizational data, outcomes, and program highlights to support the development of the next annual Impact Report, ensuring key metrics and qualitative datapoints are documented and ready for publication.
- 3. Strategic Plan KPI Tracking: Build and maintain a progress-tracking framework that allows the Executive Director to monitor the organization’s advancement toward goals outlined in the Strategic Plan, providing clear visibility into team deliverables and milestone completion.
- 4. Audience & Donor Analysis: Analyze existing audience and donor data to identify trends, engagement patterns, and opportunities to deepen relationships with current supporters and grow the organization’s base.
- 5. Programming Trends & Audience Gap Analysis: Examine ticketing and attendance data to identify demographic or community segments not currently represented in Vilar’s audiences and provide recommendations for broadening programming reach.
- 6. Complimentary Ticket Allocation Analysis: Review and assess the organization’s current complimentary ticket distribution practices across donors, corporate partners, and artists to evaluate effectiveness and
inform future policy. - 7. Corporate Venue Rental Program Analysis: Evaluate the existing corporate venue rental program to identify opportunities for growth, improved processes, and increased revenue, with recommendations for
how the program can be further developed. - 8. Arts Education Program Support: Assist with the coordination and facilitation of existing arts education initiatives in local schools, supporting program delivery and helping to strengthen community partnerships.
- 9. Sponsorship Prospecting & Donor Profile Development: Conduct prospect research and build detailed donor and sponsor profiles using existing organizational data to support the development team’s outreach
and cultivation efforts. - 10. Vilar Performance History Archive: Complete and organize the comprehensive history of performances at the Vilar, updating records to create a milestone-ready archive. Including identifying the date of the organization’s 2,000th Vilar-presented performance.

A successful candidate should possess:
- Active enrollment in a college program as a junior/senior in arts administration, business, nonprofit management, communications, or related field preferred.
- Experience with the performing arts and/or performing arts venues highlydesirable, but not required.
- Capacity to work independently as part of a strong team.
- Self- initiative, attention to detail and a customer- centric philosophy.
- Strong initiative and interpersonal skills.
- Excellent time- management and organizational skills, ability to work on multiple projects and deadlines simultaneously with flexibility, the capacity to generate innovative solutions and strategies.
- Excellent oral and written communication skills.
- Experience with or capacity to learn Microsoft Office Suite, and other technological software on an as needed basis.
- Advanced English skills, both written and oral.
- Must be legally authorized to work in the United States
This is a paid internship position, based in Beaver Creek, Colorado. This position begins June 15, 2026 and concludes August 21, 2026. Dates are flexible based on candidate’s academic schedule. This position will work approximately 40 hours per week, and
schedule may include evenings/weekends to align with performance and event needs.
Hourly Rate is $20.00 based on experience.
