Project Manager

The Vail Valley Foundation (VVF) is seeking an experienced Project Manager with a passion for the mission of the Vail Valley Foundation and the Vail Valley community. The position will play a critical role in developing and executing the VVF’s newest project, Magic of Lights Vail. The Project Manager will take lead of the new project and will be expected to work hand in hand with both internal VVF staff, as well as external partners, including but not limited to the Town of Vail, Magic of Lights, the Vail Recreation District, and the Betty Ford Alpine Garden. This position requires an individual with strong organizational, time management and leadership skills, high attention to detail and an ability to manage a budget.

  • Minimum 3 years of experience in event operations
  • Effective organization and time management skills to ensure deadlines and program objectives are met
  • Previous experience working and excelling in a fast-paced, multi-level, project-based environment with an emphasis on timelines, quality and delivery
  • Capable of remaining focused and calm under stress and able to adapt to changing conditions quickly
  • Self-initiative, attention to detail and a customer-centric philosophy
  • Exceptional relationship management, problem-solving and negotiation skills
  • Ability to demonstrate tact, and a clear, courteous and professional manner when dealing with coworkers, public, partners and donors.
  • Proven ability to make critical decisions independently without supervision
  • Team approach with an ability to work closely and cooperatively with internal and external associates
  • Excellent oral, written and communication skills
  • Working knowledge of budgets, forecasts and profit and loss statements; ability to demonstrate fiscal responsibility for all assigned projects.
  • Willingness to work irregular and long hours during events
  • Willingness to work in outdoor conditions with variable weather
  • Physically ability to lift and carry up to 50 lbs.
  • Must be able to successfully pass a background check.
  • Work closely with Town of Vail and Ford User Group partners on planning, policies, permits, and approvals for the event.
  • Oversee event overlay; managing all of the temporary infrastructure required to support the Magic of Lights project, including but not limited to: tents, power, utilities, fencing, lighting, rental equipment, and FF&E.
  • Assist with the development of venue maps and layouts.
  • Contract and oversee build and breakdown crews.
  • Manage bid process for equipment and facility contractors, vendors, and suppliers, and oversight of those selected.
  • Work with hired concessionaire during lead-up to opening of the experience on liquor permits and venue needs, as well as during the activation window to facilitate any nightly needs.
  • Create and manage comprehensive event build out, tear down and logistics schedules.
  • Work with sales and marketing team on development and execution of supporting activations (e.g., sponsor engagement, holiday elements, group events, etc.)
  • Coordinate all signage and branding elements for the venue with marketing and the Magic of Lights team.
  • Hire (as necessary), schedule and manage Magic of Lights staff and oversee nightly operations

This is a seasonal employment opportunity beginning as soon as October 26 and running through the completion of event breakdown and wrap-up (currently estimated for February 5, 2021). This seasonal salaried position is not eligible for benefits.
